Roxanne leads a finance team of four, overseeing finance across the group's 24 entities.

As a large multi-entity, multi-business-stream group, Xero remains the foundation of the app stack. It's where the team handles core accounting functions: bank reconciliations, AP, AR and management of the general ledger.

With a multi-entity structure comes a large volume of intercompany loans. Balancer makes it easy to see whether loans are reconciled and, where they're not, to correct them and post journals to each entity without opening every individual Xero file. Recharger is used monthly to ensure costs incurred in the head entity are on-charged correctly, particularly important where JV partners are involved. HQ was used most recently during a transition to new commercial leasing software, allowing the team to compare and reconfigure charts of accounts across entities, saving significant time and removing the need for numerous spreadsheets.

Amalgamated moved to Derive in April this year. The efficiency gained from an AP platform genuinely built for multi-entity businesses has been significant, with strong feedback from the wider, non-finance team. Managing AP across 24 Xero files is a substantial task on its own. Invoices are sent to a single Derive inbox, which assigns each one to the correct entity, adds invoice detail including multiple line items, and learns from previous invoice data over time. It checks spend against supplier history, ABN and GST registration, and verifies bank details against Xero, while also allowing invoices to be searched across all entities in one place. The Derive team has been proactive throughout implementation and responsive to feedback.

With phishing, AI-generated fraud and scams now widespread, Eftsure provides another layer of protection when paying suppliers, often for multi-million-dollar amounts. Every payment batch is run through Eftsure before it reaches the bank, confirming suppliers are verified and payments are directed to the correct account.

Bringing employee onboarding, sign-up and management into one platform has improved processes significantly. It has also strengthened controls around employee data and wage changes: rather than sitting with one person, key managers are now notified whenever a salary or other key detail changes. Payroll is streamlined and straightforward to run, while keeping the business compliant with Payday Super and STP reporting. The café manager also has better oversight of rostering and shift wage costs, supporting more accurate forecasting.

Flex connects Excel directly to Xero, allowing the team to build reports and reconciliations that update at the click of a button.

Syft is used for group consolidation and quarterly reporting. There are some limitations around report customisation and presentation, so reports are typically refined further once exported to Excel or PDF.

Used to manage commercial assets, including key lease details and timelines, tenant communications, invoicing and AR follow-up.

The platform behind Serviced Apartments bookings. The team communicates with customers directly through RMS and avoids booking clashes, while daily journals post automatically to Xero, removing manual work from income reconciliation.
